Significance of System and Process
Most large organizations are driven by systems and processes, unlike their small counter they are less dependent upon by individuals. The truth remains that the majority of us struggle to come to terms with a system-based approach to decision making. Let’s try to understand the significance of systems and processes to organization’s growth.
Uniformity
In manual systems, it usually happens that each person performs the task in their own style leading to inconsistency in the final output. This can not only spoil the brand name of the organization, but can also lead to customer dissatisfaction. This will no longer be the case if all employees performing tasks adhering to a well-defined system. This can allow uniformity in the product or services produced by the company.
Precision
Highly successful organizations usually emphasize on the clarity of thought process so that the hit rates of delivery are near perfect each time. The key to performing with precision has its foundations built on strong systems and processes. For example: A company in export business rely upon employee for preparing export documentation manually. Now in the absence of this person other employee doing this has a higher probability of doing error, as the system and processes are not well documented.
Scalability
To grow the business, it’s important for business to have a replicable structure of building blocks. If the company has a process that is being followed for doing a task, this task is independent of the employee. If need be, anyone else also can perform same task equally efficiently. The uniform systems allow companies to scale up their operations without sacrificing on the quality.
Productivity
It’s been proved by science the employee feels more burdened in absence of clarity of tasks to be performed. Highly successful organizations usually emphasize on clarity of thought process so that the hit rates of delivery are near perfect each time. The key to performing with precision has its foundations built on strong systems and processes. Sometimes it happens that multiple resources could work on the same task. A well-defined system will allow employees to collaborate on tasks resulting in higher productivity.
Adaptability
The subtleness with which businesses function is predominantly proportional to the manner in which the organization adapts to the changes in the external environment. If we have the process defined for some work, it can easily be improvised based on the change in market condition. This allows organizations to adapt to changes quickly and more efficiently.
